Dear Community Partners, Event Organizers, and Sports Enthusiasts,

The Town of Drumheller is pleased to announce a Call for Proposals for sports event(s) to be held during our off-shoulder season, from September to November 2025. We are inviting organizations, clubs, associations, and promoters to submit proposals for hosting a new or recurring sports event that will boost tourism, support local businesses, and foster community engagement.

Our municipality recognizes the potential of sports tourism as a catalyst for economic development and community vitality, especially during the quieter months. This initiative seeks to leverage our natural assets, existing infrastructure, and welcoming community to attract athletes, spectators, and visitors.

Proposal Guidelines

We encourage creative and well-organized proposals that:

• Are scheduled between September 1 and November 30, 2025
• Clearly state the expected number of participants and the estimated percentage from out-of-town participants
• Indicate whether the event is new, recurring, or an expansion/top-up of a pre-planned event
• Include the requested funding amount
• Highlight the anticipated community impact and economic benefits
• Align with our community values: inclusivity, sustainability, and active living
• Showcase the unique features of the Drumheller Valley (e.g., landscapes, sports facilities, accommodations)
• Have completed successful events in the past and/or demonstrates the feasibility of running a successful event in a tight time frame

Provide a detailed budget, marketing strategy, and risk management plan. Events may include (but are not limited to):

• Tournaments or competitions
• Invitational or exhibition games
• Endurance events (runs, triathlons, bike races)
• Adaptive sports events
• Multi-sport festivals or youth showcases

 

 

Submission Deadline

All proposals must be submitted by 4:00 PM on Friday, July 20, 2025.

Please submit proposals via email to communityservices@drumheller.ca with the subject line: “2025 Sports Tourism Event Proposal – [Your Organization Name]”
Alternatively, hard copies can be delivered to the address below.

Selection Criteria

Proposals will be evaluated based on:

• Feasibility and planning detail
• Expected number of participants and out-of-town visitors
• Potential community and economic impact
• Alignment with community values
• Use of local venues, vendors, and resources
• Effective marketing and outreach strategies

All proposals will be reviewed by the Drumheller Valley Sports Committee and Town employees.  Successful applicants may be eligible for financial assistance from the Town of Drumheller with the Sports Tourism Grant supported by Travel Drumheller.
